Wedding Forum - Venue has no record of our booking :-O ...

Ok, so I'm trying to be cool & calm about this... But as a change from Sunday lunch, h2b suggests we go to our reception venue for lunch instead. I thought it'd be a great idea - have lunch and refresh in our minds some of the details of the venue decor & space, y'know - where to put the sweetie table, where to have the photobooth etc etc.
I was very pleased to see that they had replaced some of the oblong tables with round ones which will be perfect for the big day.
So, when ordering our meals, I asked if they were a permanent fixture, as they'd be great for our wedding in July. I also asked when would be a good time to come in to discuss menus.
So they looked on the system & couldn't find ANY record of any bookings in our name, or on our date. It was as if it was all totally brand new information to them!!
I left with the nervously sweating manager asking me to send him a copy of the receipt so he can look into it more.
I'm hoping its in the system somewhere, and trying not to think about the worst case scenario - which isn't easy!

Eeeekk! You sound rather calm considering! If you have the receipts etc surely that's proof enough and fingers crossed you dont face a big issue.

Do u have a receipt?

Yes, we have a receipt stating the date, time of meal and what's included in the price.
We paid for it a year ago, when they said "come back at the end of January 2014 to discuss the details (menus, drinks packages etc.)"

My mind is racing... We don't have a plan B!

you have the receipt so take a deep breathe in and i think you should contact your wedding venue as much as you can and your wedding co-ordinator to make sure everything is 100% accurate and you will have the wedding day of your dreams =D <3 X

So glad you have the receipt, think they need to snap to it and sort stuff out!!! Maybe it was fate today that made your fella wanna go there!

Aslong as they did not have anything else booked on the date I would not be too worried! and would be like put it in there NOW! hope it all gets sorted out soon.

Even if they did have something booked there if you've paid before anyone else it's yours x

I wouldn't worry as long as you have the receipt. They have to honor thAt. I'd be going slightly crazy waiting though. If I were you I'd be down there first thing tomorrow morning x

That is worrying, but with the receipt they don't have a leg to stand on. It sounds like they haven't been too well organised. Do you have a friend who's good at getting on people's backs and politely complaining where necessary? Some people have a knack for that and it would take some stress away from you.

totaly agree with Laura, prob just has not been transfered over to the new diary or what not

From what you said there isn't anything else booked on your date and since you have the receipt hopefully it should all be ok to still go ahead as planned. Fingers crossed for you.

I think you really need to sit and have a good talk with them. I wouldn't be happy if my venue did this to me x

Hope everything works out. I'd be majorly annoyed, can't believe you've been so calm. Like the others you should sit with them and ask how this has happened x

Tell them other extra stuff was agreed...if hey have no record of the booking then they prob have no information on what wa agreed...try and get sa few extras xx

I'd be demanding some freebies just because they've misplaced your booking, how irresponsible,especially as they could have booked someone else in on that day!

Our venue provisionally booked our date with us I rang up four days later to pay the deposit to find out they had given the date to another couple we are supposed to be getting some extras so you definitely should xx

Some good things have come of the meeting with the venue manager - we've paid, got receipts, the day is still ours. Phew!
Looks like we had paid significantly less than what is now the going rate - yay!
The menus on offer are much better & more suitable for a wedding, with more choices - yay!
The only downside is that they can only offer us part of the venue to set up in on the afternoon of the day before - the rest of 'our area' will only be available from 8pm the night before for setting up - bit of a pain! I'm a bit of a control freak so this will need a bit of thought to try to find someone reliable to maybe finish off the setting up on the wedding morning.

Actually felt a bit sorry for this manager, who was clearly wondering what other weddings the previous manager had agreed, taken the money for and not told the new manager about!!

So glad its all sorted. Hopefully by the time you've set up everything in the afternoon it won't be so long/difficult to set up the rest of your area.

Phew! So glad it is sorted now. We can only set up our venue the day of, but we aren't getting married until 3PM, so I am hoping that wont be a problem.
