    Help please!

    We've found a hotel we really like but can't decide on which room to use. They've got a small room which can hold 94 people max but that would mean 2 tables have to be on the dancefloor and then be moved after the meal. But they said the bigger room has to have a minimum of 100 people. We're expecting 80-100 guests and because I've got a lot of family abroad, we can't be any more specific with numbers yet. We think the smaller room is too small for 80+ and we really don't want to have tables on the dance floor but we also can't guarantee 100 people at the mo so we don't know that to do.

    They keep saying the bigger room will look weird with only 80 people but we don't think it will! Has anyone else had this problem??

    We had similar but negotiated to pay a few pound more per head for the bigger room and they agreed....(cheaper than paying for the 100 then only getting 80 as our venue suggested!) we ended up having more drop out, mainly family abroad like you so have ended up swapping back to the smaller room!

    The cost is the same per head (which includes room hire) and we're just having a sit down meal around 7pm so there won't be day/evening guests.

    We've tried asking them if we can't just pay more per head or put some money behind the bar but they insist that they won't charge us extra if we don't meet the minimum numbers. But yet they still insist we guarantee 100. They say it's not about the money but for our own good so the room doesn't look empty. Surely it's our decision! We're thinking about just lying and saying we'll get 100. Maybe it's just easier to look for another venue....

    Tough one isnt it..... I cant see a room thats fine with 100 looking empty with 80??? Have you got your heart set on this venue or are there others youd be happy with?

    Finally they've admitted it's about the money! I told them if they weren't willing to accomodate us we'd look for somewhere else, and their response was that they could put a minimum of 95 people and if we have less then we'll still have to pay for 95. I've emailed back asking if we did have to pay extra, could some of the extra cost be put towards the bar so it's not like we're paying for nothing. Fingers crossed they agree!

    Grief, all that haggling, I'd be exhausted! Hope it works out how you want it too! (always worth getting it in writing as well!)...

    our marquee at our venue can hold 250 people but we are only have 70 during the day. when we went to look round it was set up for a similar size wedding and it actually looked really nice. i think its better to have more space than you need than to be all squashed up. x
