I've just had a message from one of our wedding guests saying they tried to call up one of the hotels on our invites to book their room and the hotel has no idea about it. To explain the background, we contacted a couple of local hotels to see if they could do us a deal as we would have a number of people needing rooms. This Hol 1nn hotel got back to us saying they would allocate 10 rooms for guests and gave us a code to put on our invites for guests to quote when they called up to book to get the special rate. Great, I thought. So the guest called up today to get booked in and the hotel have no idea about the code she gave so now I'm fuming wondering if that means we actually don't have any rooms allocated at this hotel? I called up the hotel 3 times but the phone just rings and rings and there's no option to leave a voice mail. So I found the original emails with all the info about the booking on and have messaged it back to them asking what has happened and what they are going to do about it. I'm just annoyed because after we did the booking I thought we wouldn't need to be involved but now I'm going to have to spend time faffing with this when I have a million other things that need sorting, x

How frustrating!! Really hope they get back to you if not I'd print the emails and march down there and ask to see the co ordinater and ask them to their face! Hope you manage to sort it though x

How frustrating I hope they sort it, we've had the same problem at the hotel we're marrying they forgot to book rooms back for us and then the hotel got fully booked, but luckily they put us on a cancellation list and a couple rooms became free. I'd keep trying them Hun as its their fault they may be able to sort something for you x

I remember with our hotel (before we changed venues for that and other issues) said they had reserved us a number of different rooms and when guests went to book them we were told that they hadn't been reserved and the other wedding being held on the same day (which we didn't know about until then) had booked out the entire hotel!!

Can you get hold of a head office number or email? Get hold of them and make an official complaint, maybe they will offer you a further discount for the trouble.

I was in meetings all this morning but checked my emails at lunch and had nothing so called them again. I was nearly about to hang up because it rang for so long but finally someone picked up and it was the woman I had originally sorted it all out with. She said she'd sent me an email that morning (which I hadn't received) so explained that the booking was there but hadn't register on to some system. So she had done a few trials and could make a booking so tried to give me a new code for guests to use. I told her that's ridiculous because I'm not calling up 80 people to tell them the code has changed! She said they could still call up and just use my name and wedding date to make bookings and gave me her direct dial for my friend who had the issue to call and she would get her sorted.
So the good news is there are rooms allocated to us for guests to book. The bad news is I'm not actually sure if people will be able to book as part of our allocation if they don't speak directly to her... x

I know its not official but could you send a mass email, or get in touch personally on fb/text to those who you think would be taking a room to let them know? I presume not all 80 guests are staying? If so that would be a massive c*ck up on the hotel's part!

I have no idea who has or hasn't booked a place to stay yet. We just suggested the nearest hotels to the venue as no one can stay there and then managed to get a deal where they would allocate 10 rooms to us so they wouldn't all get booked out by another group.
When we sent out a mass message on FB just before our rsvp deadline we had loads of people checking we had received their rsvp (which is nice that they want to make sure we know they're coming) but we'd rather not have to sift through loads of messages again of people saying "ooh, I'm staying at xyz, auntie so and so where are you staying?" if you get what I mean.
I think all I can do is leave people to it and if anyone else says they had a problem, I'll give them the womans direct dial number to get their booking sorted. X

What a palaver Kirsty! I am glad it is sorted (ish) - hopefully no one else has any problems. Can the lady not create a note or something and pass it to the other team members? Maybe saying something like "if anyone quotes this code, here is the new code that supersedes it"? It's definitely not something you need on your plate.

How annoying, seems to be a common problem have heard of hotels messing up group reservations so many times!
