    Hi All

    So tomorrow we are due to go to our venue and pay 90% of the balance.
    As we have been paying as we go, this means we are not left with a huge amount and therefore the sneaks have asked for 90% of what we have left to pay. Oh well, that's not the issue here

    So we went for a package at our venue of 50 day guests and they are catered for all day and evening
    We have then added evening guests to which we were told we would pay for each guest, fair enough.

    So our day number (inc kids) is 57 and eve guests we originally said 53
    We were therefore quoted on 57/110

    I have updated them at the beginning of the week with our final evening number of 38. Its bank hol weekend, lots had already made plans, despite sending our eve invites 8 weeks before the date :-(
    Anyway

    I emailed the venue and gave this number and requested the bill be revised
    I received a response to say the price is the same? EH?

    We had left it to the venue re the % to cater to. Now they are saying as we are still catering for the same amount of people, the price will not change?
    Does this sound right?
    That means I could potentially invite another 15 people for free????? Not that I am going to but just saying!

    Im ever so confused as when we requested the cost per head of our evening guests, we were told £7.90
    This means the 13 extra from day to evening based on the number they are catering for is much much more than £7.90 and everyone else is non charge? I just dont get it


    Can anyone shed some light on this for us?

    Do you have a contract that says that you will pay eg £7.90 per evening guest?

    Sounds odd to me - I don't get it either! Maybe they've misunderstood? Xx

    Our venue said we had to contract for a certain number for day and evening and what we contracted for we would have to pay. So she said to contract for less then add more later. So we're inviting 80 day guests but contracted for 65, inviting 25 extra evening but contracted for 10. We were told that the original contracted numbers would have to be paid no matter how many were there.

    That sounds like the way your venue have gone about things. They contracted you for the original numbers you gave, which I guess were everyone you invited? Now that's what they're charging you even if not all are coming.

    Does that make sense?

    I guess if they didn't make it clear to you then yeah it seems really unfair. Our venue lady was really good about explaining it to us so we were prepared. They should have told you. There will always be people that can't make it and these places make so much money!

    Check your contract really carefully, if it doesn't say that in there then fight it. But if it does say that you contract from the numbers you wrote then I'm afraid I don't think you'll be able to do anything about it :(

    However, they only sent us the actual cost of our day after our meeting 8 weeks before the wedding when we told them the day number invited was an extra 53, we had originally said and extra 80 when we booked but things change dont they?

    So she said at that point, they will draw up the costings and we just need to give final numbers 3 days before the wedding.
    Well I have done what they have asked but with plenty of time as the wedding is 2 weeks tomorrow

    This has put a bit of a dampener on my excitement of going there and paying the money all off
    Its not a humongous amount of difference but when you are on a budget (and feel someone is taking the mickey!) £120 is a lot of money!

    There's normally a clause about when you need to provide final numbers for and after that they'll charge you for the original amount xx

    Yeah it sounds like they've not been clear with you about their terms. Check the paperwork you have. See what the terms are about payment for numbers. It sounds like they took your 8 week numbers as your contracted ones, then they were expecting just small changes on the 3 days before thing.

    Have read through all our emails and it states the 8 week prior to wedding meet is to get better a better idea of the day and be able to provide more accurate figures but nothing is set in stone and they are happy to tweak evening numbers upto 48hours before the wedding?????

    Maybe I shall print that one off to take along with me tomorrow!

    Yeah, if it doesn't say that you are committed to those numbers then definitely go and argue.

    When you first drew up your contract was it a package catering for xxxx day guests and up to xxxxx evening guests with any over this number being £xxx per head.

    Our uk venue was 50 day guests ( but could have up to 80) and 100 evening guests. We were told that any number over the 50 would be £xx but there would be no reduction for having fewer

    No Carla, our package was for 50 day guests with no extra in the evening
    We always knew we would have guests in the evening and were told that was fine and we would just pay per head but the 50 from the day would be catered for all day and evening

    Hope that makes sense?

    That is kinda confusing and strange; if you have a contract then I'd look back over it but I would query them as you don't want to be paying any extra then you have to or underpaying

    Ohhhhh we are going round in circles here!!!
    Matt & I have pen & paper & it is now making even less sense!
    If we said we were having zero evening guests, our day guests would still receive an evening buffet as in the package.
    Therefore when they now mention we are catering for 70, it appears we are paying again for our day guests to eat when it is already included!!!!!!!!!

    Oh dear, think I need to get some sleep ahead of getting this out in the open with them tomorrow!

    So they have counted the day guests again for the evening and charged you again even tho they are already oaid for as part of the package??

    Ask for a complete breakdown of the cost...I wonder if the lady on the other end has got her lines crossed somewhere. But Deffo seek clarification xx

    I agree with Laura, ask for the full breakdown of everything that you are paying for.

    Our venue have always said to give the final numbers 8 weeks before the wedding and then they can do a full invoice which is what most venues do.

    I wonder if your venue have said that number because you have to pay for them again in the evening?

    I would phone and speak with the lady you originally had the meeting with. Just say you're a little confused, and could she explain things to you. It may all be an honest mistake, everyone's human including your venue people and these things happen.

    Wow, I've just emailed my venue to make sure our quote price isn't our final price as we already have £640 worth of people that we have taken off our guest list !! She did tell us to over count for purpose of the quote though, so hopefully this isn't the case..

    I hope you get it sorted as this sounds very strange for the fact that you weren't told this in the first place ! Xxx

    Sounds like they have agreed your 8 week numbers as the final number, and have said u can tweak it so they dont over cater.

    I had something similar a work where we advised that lets say 100 guests were attending our conference but when only 80 showed, they still charged for 100.

    Thanks ladies
    After a long and frankly confusing meeting at the venue, where the guy started talking overheads and price per section of the day (???) we have finally sorted it!

    It transpired that they were not charging us per head but just for the number catered for in the evening.
    HOWEVER
    They had then charged us twice theoretically for our day guests as the package catered for day guests from ceremony until midnight.
    Its all still a bit confusing to me but after I returned from taking LO to the toilet, H2B & Wedding co-ordinator (the guy) had agreed the breakdown and the solution being £200 off the quoted figure!
    Result!!!

    So the venue are now paid and we owe £75 on check out which was their suggestion just incase a guest or 2 pull out as we have until 48hrs before the wedding to give final numbers

    Phew!
