I have found my perfect wedding venue, I have been to see it and have fallen in love. I am currently waiting on the final quote but I am certain it will blow my budget out of the water. So I've been thinking of ways to make it work. The venue comes with accommodation for 40 people and we will have to pay for these rooms whether they are used or not. However I was thinking, in order to claw back some money I could ask my guests to pay £50 per adult per night. Even if I can only fill the rooms for one night (we are hiring the venue for two as myself and my bridal party, my h2b and his groomsmen and a couple of close family members will be staying the night before) this would claw back about £2000-£3000. Is it acceptable to ask guests to pay for accommodation which we would have paid for regardless? Or is it not done? And if it is acceptable is £50 pp pn a reasonable price (considering the wedding will include a 2 course meal a buffet entertainment and it is on new years eve so is basically a glorified new years eve party). I personally would be happy to pay this if the shoe was on the other foot but I don't want to appear to be cheeky in asking for money. TIA for your oppinions

I think it's perfectly acceptable. Maybe do it £100 per room instead. Or venue gives exclusivity of the hotel rooms and the rooms are £100 each for double occupancy b&b, £15 extra for extra people in them over 5 years old. To cover breakfast. People would have to boom accomidation anyway

Yep I would do it per room instead of per person otherwise you might only get £50 per some rooms if single occupancy. How much is it usually per room at the venue? Think our room was about £150 per night as a couple and £110 single occupancy. You don't want to go charging more only for the guests to find out and get stroppy.

Oh and make sure they pay in advance or you will end up footing the bill.

Thank you, I thought it was ok but I don't want to put people off by asking. The venue is a manor house and only 4 of the rooms offer b&b (one of which is the honeymoon suit) but as I plan on allocating these rooms to myself and my h2b (obviously), my dad and his wife (who are partially funding my wedding) my grandparents and my nan (who between them raised me from the age of 3) I don't intend on "charging" them extra for the breakfast. The rest of the rooms are in cottages separate to the main house and offer s/c facilities but all the rooms are stunning and if I were a guest I would be pleasantly surprised at what I would be getting for my £50pn!!!

I haven't seen the prices for the rooms as there isn't the option of not having them the quote I will be given is for exclusive use (which is all that is offered) But I agree that I should charge per room rather than per person. If you were me would you charge different prices for twin, double and family rooms or would you just charge a standard rate per room across the board?

Just to back up what the others have said, it is perfectly acceptable. A lot of venues offer this, ours offers it as an option, but we don't think many people will be stopping at our venue so didn't want to pay for all the rooms and then have everyone say they are stopping down the road (or venue only has around 8 rooms and they're very expensive per night)
CommentAuthorKatieH
We get 20 rooms at a discounted price and if they all get booked then anyone who hasn't booked quick enough will have to pay full price. Our guests will be paying for their own rooms whether they are discounted or not.

Maybe charge per size of room, if that makes sense. You don't want a single room or a double room going with twice as many peeps going into it and sleeping on the floor. Naturally a single room would be less than a double/twin/family room.

Yeah I think charging per size of room is a good idea as well, it is how hotels work it
CommentAuthorElizabethF49
yes its perfectly acceptable my sister and BIL are dong exactly that they will be charging £100ish per room, they must take all the rooms in the venue too.
they are saying to people if you would like to stay at the hotel on the night of the wedding it will be x amounts but the guests will need to pay my sis and BIL so they can pay the hotel (Rather than the guests paying at the hotel as it all needs to be paid up front)
Hope this makes sense

Just tell them if they want a room at the venue it's this per night, but need to book and pay through you as rooms are already reserved through you for the use of your guests.

Most guests pay for their own accommodation and should not expect a free room. I think it's totally acceptable x

We are asking our guests to pay for their rooms if they want to stay.. I know they wouldnt even expect us to foot the bill for them to stay. Our venue has given us a flat rate of £135 across all rooms and we are asking guests to pay the full price.. They will get plenty of notice with the invitations, and to be fair, most people already know so have plenty of time to save if they need to. X

I also think that if they get funny about paying, tell them to book somewhere close by, they will probably pay double as it is NYE

Thank you so much for all your responses you've made me feel a lot more positive. After having a think I figured I could ask £150 for a twin/double room for 1 night or £200 for 2 nights and for a family room £175 for 1 night or £250 for 2 nights, this would work out at £2800 if every room is taken for 1 night and £3800 if every room is taken for both nights, although I'm still waiting on a quote from the venue (not very patiently, I want this place so much!!) this may make it possible. I have checked some of the prices for other local accommodation and the lowest is £70 per room per night add a taxi on to that (at NYE rates) it would make it £100 minimum so I'm hoping people won't think I'm asking too much. Thank you for all your opinions!!!

We had our reception in a hotel and were given a discount on a set number of rooms. We made close family and friends aware of it, plus those who would struggle to pay for a room in the hotel otherwise. Then we gave people details in the invitations of that hotel and others nearby. We basically expected people to pay for the rooms that they stayed in. If you ask everyone to pay for their room will you be able to cover the cost of any rooms that are not taken?

It all depends on what the venue is asking as it is exclusive use so the rooms are included in the price regardless. Once I know what the price is I will then approach my close friends and family asking if I were to book this venue would they be willing to pay x amount to stay there and then work out what the venue would cost minus the amount I would be guaranteed to get for the rooms and work out if it is plausible. Then when the time comes I find that I am able to fill all the rooms and would make back more than I originally thought I would put this back into the wedding by providing extra drinks or more entertainment or something (meaning that the guest would be getting more for their money so to speak). If that makes sense?

We have a similar sounding venue, you hire it privately, I was always going to ask guests to pay for their own rooms though! If it was in a hotel they would pay for their own rooms no questions asked, and probably more than £50 per night. Perfectly reasonable to ask x
CommentAuthorKayleighS46
i would also do per room, our venue charges per room its £99 for double room with breakfast or £69 for single room with breakfast. The guests that are staying know they are footing the bill for this themselves. The only ones were paying for is both our parents to say thank you for everything :))
I wouldnt expect the bride and groom to pay for me - its my friends wedding in August (I'm bridesmaid) and I'll be paying for the room for myself and H2b i wouldnt expect her to pay for me xx
